This Privacy Policy applies to personal information collected through our website, online forms, job and resume submissions, email and text-message communications, recruiting and staffing activities, and related services that link to this policy.   • Application and placement information, including positions considered, interview and scheduling information, recruiter notes, placement status, onboarding progress, credentialing status, and documents you choose to provide.
  • Communications information, including the content of inquiries, email correspondence, text messages, telephone call notes, support requests, HELP or opt-out requests, and records showing when and how consent was provided or withdrawn.
  • Subscription information, such as an email address submitted to receive hiring insights, career information, or other updates.
  • Any other information you voluntarily provide to us.

Information Collected Automatically

When you visit the website, our technology providers and we may automatically collect information through cookies, pixels, tags, scripts, local storage, logs, and similar technologies. This information may include:

  • Internet Protocol address and approximate location derived from it.

Information We Receive From Other Sources

We may receive personal information from healthcare clients, job boards, professional networking services, recruiting partners, referrals, references, public or professional sources, credentialing sources, and service providers that support recruiting or background screening. Where a consumer report or background report is requested, any legally required disclosure and authorization will be handled separately from this Privacy Policy.

2. Sensitive Information and Patient Information

Please do not submit Social Security numbers, financial account information, medical records, patient information, or other highly sensitive information through a general website, contact, or unsubscribe form. If sensitive information is required for a later credentialing, onboarding, payroll, or screening process, R4 Healthcare will direct you to the appropriate process or secure system.

R4 Healthcare’s public website is not intended to collect protected health information about patients. Do not include patient names, diagnoses, treatment information, or other patient-identifying information in website messages. If a separate written agreement or legally regulated workflow applies to particular information, that agreement or workflow will govern that information.

3. How We Use Personal Information

  • Respond to inquiries and provide requested information about staffing, recruiting, workforce, or career services.
  • Evaluate candidates, match professionals with potential opportunities, coordinate interviews, support credentialing or onboarding, and administer placements or assignments.
  • Understand employer requirements, source and present qualified candidates, coordinate coverage, and support client relationships.
  • Verify information, professional qualifications, licenses, certifications, experience, references, and eligibility when appropriate and lawfully authorized.
  • Send service-related communications, including inquiry responses, interview or scheduling messages, application or credential reminders, assignment updates, job opportunities, and support messages.
  • Send marketing email or text messages when permitted by law and consistent with the consent or preference provided.
  • Maintain consent, subscription, suppression, opt-out, HELP-request, and communication records.
  • Operate, maintain, analyze, improve, personalize, and secure the website and our services.
  • Measure website traffic, understand content performance, attribute advertising, and evaluate outreach campaigns, subject to applicable consent and opt-out rights.

4. Text Messages and Mobile Information

If you provide a mobile telephone number and agree to receive text messages, R4 Healthcare may use that number for the message types described in the consent request and our Terms and Conditions. Message frequency varies. Message and data rates may apply. Consent to receive marketing text messages is not a condition of employment, applying for a role, purchasing services, or receiving services.

You may revoke text-message consent at any time by replying STOP or QUIT. We also recognize other reasonable opt-out requests. For assistance, reply HELP or contact us using the details below. We may send a single non-promotional message confirming an opt-out request.

Mobile information disclosure: Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories described in this Privacy Policy exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties for their own marketing or promotional purposes. We may disclose information to messaging service providers, telecommunications carriers, aggregators, and campaign-registration providers only as necessary to register, deliver, support, secure, and document our messaging program or to comply with law.

5. How We Disclose Personal Information

We may disclose personal information to the following categories of recipients for the purposes described in this policy:

  • Healthcare clients and prospective clients when a candidate is being considered for an opportunity, subject to the candidate’s direction, the recruiting context, contractual safeguards, and applicable law.
  • Credentialing, screening, verification, and professional service providers when appropriate and with any authorization required by law.
  • Job boards, recruiting sources, referral partners, or business partners when needed to provide requested recruiting or staffing services, or when you direct us to do so.
  • Telecommunications carriers, messaging aggregators, SMS platform providers, and campaign registries for number registration, message delivery, compliance, abuse prevention, and recordkeeping. Mobile opt-in data and consent are not disclosed for those parties’ own marketing.
  • Analytics and advertising providers, such as Google, Microsoft, Meta, or HubSpot, when the corresponding technology is enabled and subject to applicable consent and opt-out controls.
  • Government agencies, regulators, courts, law enforcement, professional advisers, or other parties when we reasonably believe disclosure is required or permitted by law, protects rights or safety, prevents fraud or misuse, or supports legal claims.
  • A buyer, successor, lender, adviser, or other participant in a merger, financing, reorganization, sale of assets, acquisition, bankruptcy, or similar corporate transaction, subject to appropriate safeguards.

6. Sale, Sharing, and Targeted Advertising

R4 Healthcare does not sell personal information for money. Retention periods vary based on the type of information, the relationship involved, legal or licensing requirements, and whether a longer period is needed for a legal claim, audit, investigation, or suppression record.

Opt-out and suppression records may be retained for as long as needed to ensure that a communication preference continues to be honored. When information is no longer required, we may delete, de-identify, or securely dispose of it, subject to backup and legal-hold requirements.

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, vendor oversight, security monitoring, encryption where appropriate, employee practices, and incident-response procedures. No internet transmission, email, text message, or storage system can be guaranteed to be completely secure. Communication Choices

  • Text messages: reply STOP or QUIT to opt out. Reply HELP for assistance. You may also submit the Unsubscribe form.
  • Marketing email: use the unsubscribe link in the message or submit the Unsubscribe form. We may continue to send non-marketing communications that are necessary to respond to a request or administer an active relationship.
  • Cookies: use Cookie Settings on the website to accept, reject, or change non-essential cookie categories. You may also use browser controls, although blocking some cookies can affect site functionality.

We will respond within the period required by applicable law. If your request is denied and your state provides an appeal right, you may appeal by replying to our decision or emailing the same address with ‘Privacy Appeal’ in the subject line.

11. Job Applicants and Workforce Data

Candidate and workforce information is used to evaluate qualifications, identify opportunities, communicate about applications or assignments, coordinate with clients, support onboarding and credentialing, maintain records, and meet legal or contractual obligations. Submitting information does not guarantee an interview, placement, assignment, or employment. Background checks or consumer reports, if used, will be subject to separate notices, authorizations, and rights required by applicable law.

12. Children’s Privacy

The website and services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has provided personal information through the website, contact us so we can review and take appropriate action.

13. Third-Party Sites and Services
